Intercom data exports: preparation and rights review

Prepare Intercom records for an AI data licensing review: export scope, content risks, provenance, and a bounded pilot.

What the export does and does not establish

Intercom offers several conversation export routes, including reporting CSVs and content-oriented options. Reporting metadata is not interchangeable with full message text. The help page contains differing descriptions of S3 content coverage, so inspect a representative export and confirm the selected configuration before claiming transcripts or attachments are present.

Content boundaries to review

Intercom conversations can mix support requests, proactive outreach, automated answers, internal handoffs, and customer-provided files. A response generated by an AI agent is not evidence of human expertise. Contact attributes can expose identities and account relationships even after names disappear from message bodies. Review customer communications and internal notes as distinct content classes.

Prepare a narrow candidate collection

Define the conversation segment that demonstrates the intended skill. Preserve the customer problem, relevant clarification, and verified outcome while excluding unrelated account history. Label automated and human turns, and check whether the customer ever replied. Treat attachments and links as separately reviewed material rather than assuming the conversation’s review covers everything it references.

Evidence to preserve

Keep conversation IDs in a restricted ledger, export method, dataset or view filters, selected columns, creation windows, and capture dates. Record which content was available in the tested file and which was omitted. Preserve the resolution evidence, language, product version, redaction decisions, and any restrictions on customer-derived text or imported contact properties.

Validate before offering a sample

Pilot with a compact set of completed interactions, then manually compare exported examples against their source conversations. Watch for summaries that omit a failed answer or reverse who said what. If an export is only metadata, describe it that way and evaluate a metadata-focused use case instead of marketing it as dialogue training data.

Before any external sample or sale, have the responsible rights and privacy reviewers assess the proposed recipient, training or evaluation purpose, retention, redistribution, and deletion obligations. Preserve the relevant contract versions and written decisions. These preparation steps are a review framework, not a legal conclusion or a statement that the platform endorses commercialization.
