What the export does and does not establish
Salesforce provides a backup data export route documented in its administrator help. Review your organization’s available export options, permissions, object selection, and file inclusion settings before collection. A backup is designed around operational records; it does not automatically provide the narrative context, relationship coverage, or commercial permissions an AI dataset would require.
Content boundaries to review
CRM data mixes company-authored sales notes with prospect communications, purchased enrichment, customer contracts, and potentially sensitive account information. Data obtained from an enrichment provider can remain subject to its own restrictions after entering Salesforce. Account ownership inside the CRM is a sales responsibility field, not evidence of ownership over the underlying communications or facts.
Prepare a narrow candidate collection
First identify the intended use: forecasting features, anonymized workflow sequences, support resolutions, or document understanding. Minimize fields accordingly. Avoid exporting every contact detail merely because it is available. Separate internal notes from customer-supplied text, and inspect attachments and custom objects for unexpected financial, health, identity, or contractual information.
Evidence to preserve
Preserve object API names, field definitions, record identifiers in restricted form, relationship mappings, extraction date, and query or selection criteria. Record source-system provenance for imported fields. Keep the applicable customer and data-provider restrictions linked to each included source cohort. Document deletion handling and how refreshed exports will avoid reinstating previously excluded records.
Validate before offering a sample
A useful pilot can test a reviewed sequence of opportunity-stage transitions without exposing customer narratives. Check whether outcomes are final, backfilled, or edited after the prediction date. State whether the package contains current snapshots or genuine historical events. Obtain a specific rights and privacy decision for the proposed recipient and use before any sample leaves the organization.
Before any external sample or sale, have the responsible rights and privacy reviewers assess the proposed recipient, training or evaluation purpose, retention, redistribution, and deletion obligations. Preserve the relevant contract versions and written decisions. These preparation steps are a review framework, not a legal conclusion or a statement that the platform endorses commercialization.
