Zendesk data exports: preparation and rights review

Prepare Zendesk records for an AI data licensing review: export scope, content risks, provenance, and a bounded pilot.

What the export does and does not establish

Zendesk documents account exports for tickets, users, and organizations in formats including JSON, CSV, and XML, with availability and activation requirements. Do not assume that a tabular report contains the complete conversation. Confirm the selected route, plan, permissions, and actual fields before promising a volume of usable support examples.

Content boundaries to review

Support tickets frequently contain information customers volunteered to solve a problem: screenshots, logs, account details, billing disputes, and private attachments. Internal agent notes may contain additional analysis or sensitive judgments. Your team’s authorship of an answer does not automatically clear the customer’s question, attached evidence, or third-party material quoted inside the exchange.

Prepare a narrow candidate collection

Create an allowlisted cohort by product, issue type, and resolution quality. Exclude authentication incidents and high-sensitivity categories unless separately reviewed. Split public replies from internal notes, and handle attachments as independent assets. Remove signatures, quoted email chains, identifiers, and secrets while preserving enough technical context to explain the problem and solution.

Evidence to preserve

Preserve ticket IDs in restricted form, channel, creation and resolution times, language, product version, and the reason each ticket qualified. Record whether comments, attachments, satisfaction signals, and custom fields were included. Keep redaction tests and reviewer decisions linked to the candidate examples. Explain whether a resolution was confirmed by the customer or inferred from closure.

Validate before offering a sample

A first release should favor clear, repeatable problems over maximum ticket count. Sample long conversations and reopened tickets, where a polished early response may have been wrong. Separate human-authored resolutions from automated responses. Before transfer, verify the customer-contract and privacy basis for the intended AI use, and retain a documented mechanism for exclusions in future deliveries.

Before any external sample or sale, have the responsible rights and privacy reviewers assess the proposed recipient, training or evaluation purpose, retention, redistribution, and deletion obligations. Preserve the relevant contract versions and written decisions. These preparation steps are a review framework, not a legal conclusion or a statement that the platform endorses commercialization.
